Sharing your pet's clinical record with the vet
Read only links, member invitations and file exports: three ways to share, what each one contains and how to revoke access.

Sooner or later you have to show it to somebody: a second opinion, an out of hours clinic that has never seen you, a boarding kennel asking about vaccines, a relative looking after the animal for a week. Handing over your account password is the instinctive answer and the worst one, because it gives access to everything and cannot be withdrawn selectively. There are three different ways to share, with different permissions and different lifespans, and choosing well affects both convenience and safety. This guide covers what each does, what exactly it contains, and how to close it when it is no longer needed.
Creating a read only link
Open the animal's profile and start sharing
The command sits in the header of the detail page. The first time round the list of links is empty and the panel offers to create the first one directly.
Choose which sections to include
The identity details are always included and do not appear among the options. There are seven optional sections: vaccines, treatments, parasite control, allergies and conditions, visits, appointments and weight. Select only what the recipient actually needs.
Create the link and copy it
The link appears in the list with its creation date and the number of sections included. The copy command puts it on the clipboard, ready to paste into a message or an email.
Check what the recipient will see
Open the link in a private window before sending it. You will see exactly what they will see, including any section you forgot to leave out.
Send it with a message explaining what it is for
People who receive a bare link often do not open it. Write the animal's name, the reason, and if it is for a consultation, the appointment date.
Refresh the data when it changes
The link shows a copy of the data taken at the moment of creation. If you add a vaccination afterwards, use the refresh command to regenerate that copy, otherwise the recipient keeps seeing the earlier version.
Revoke the link once it is no longer needed
Revoking deactivates the link while keeping it in the list, and you can reactivate it later. Deleting removes it entirely and cannot be undone: revoke when you think it might come in handy again.
What the link actually contains
Knowing what the other person will see is the part almost nobody checks before pressing send. The content depends on the sections you selected, and each one shows specific fields.

Inviting somebody as a member
An invitation is for sharing that is ongoing rather than occasional: two people splitting the care of the same animal, a relative giving the medication while you are away. Unlike a link, a member is an identified person and their actions stay traceable.
- Invitations are sent from the members section of the animal's profile, using an email address or a user identifier.
- Two roles can be assigned: editor, who can add and change entries, and viewer, who can only read.
- The owner role stays yours and cannot be assigned to an invited person.
- Only somebody able to manage members sees the invite command, so a viewer cannot add other people.
- Actions taken on the profile are kept in an activity log you can consult.
- Removing a member closes their access immediately, without touching the entries they created.
Taking the data to the clinic without a connection
In some situations a link is the wrong choice: no signal in the consulting room, a clinic that wants an attachment for its own records, a trip abroad. In those cases you export.
- From the animal's profile, the export menu produces a CSV file or a PDF document covering vaccinations, treatments, visits, appointments, weights and expenses.
- Also from the profile, the passport command opens the print dialogue with a summary of vaccinations, visits and appointments.
- From account settings, the personal data export produces one JSON file containing pets, records, contacts and budget.
- The PDF and the passport can be saved as documents by choosing print to file in the browser dialogue.
- Keep the exported copy with your other household documents, not only on the phone.
Frequently asked questions
- Can somebody with the link see my other animals?
- No. Each link is tied to a single animal and shows only the sections you selected for that animal. If you have three animals and want to share two, you create two separate links, and each stays independent of the other, revocation included.
- Does the link show live, up to date data?
- No, and this is the question that causes the most confusion. The link shows a copy of the data taken at the moment of creation. When you record something new you have to use the refresh command on the link for that copy to be regenerated. Make it a habit before every consultation, because a stale link presents an incomplete picture without flagging it.
- What is the difference between revoking and deleting a link?
- Revoking deactivates the link but keeps it in your list, and anyone opening it sees a message explaining that the owner revoked it. You can reactivate it later without creating a new one. Deleting removes it entirely and cannot be undone: anyone opening it simply sees that the link does not exist.
- Can I let my vet write directly on my profile?
- Only by inviting them as a member with the editor role, and that is worth thinking about carefully. In most cases the correct route is different: the vet keeps their own clinical record in the practice system and shares it with you once it is closed, while your profile stays your diary of what you observe and administer at home. The two are complementary and better kept separate.
- How do I share a report I uploaded to the document vault?
- The document vault is not among the sections covered by a read only link, so it has to be shared separately: download the file from the vault and send it by email or through the internal chat. If a document is needed often, for instance a baseline report, it is worth transcribing its key figures into a visit entry or a note as well, so they stay visible to anyone who only opens the link.
What to do next
Use a read only link for one off situations, a member invitation for anyone involved on an ongoing basis, and an export only when a file is genuinely required. Before every consultation refresh the link and open it in a private window to check what the other person sees, and every six months revoke the links you no longer need and remove members who are no longer involved.
